POSITION SUMMARY: The Registrar provides leadership in planning and implementing
policies, procedures, and processes related to the maintenance of student records, registration and
graduation. This position oversees the FASFA program at Montana Christian College.
ESSENTIAL FUNCTIONS:
Administration of the Office of the Registrar
Supervise the work of the staff of the Office of the Registrar
Make recommendations concerning the employment of office personnel
Maintain familiarity with all academic policies and regulations of MCC
Remain knowledgeable of acceptable practices in the field of academic record-keeping
Attend monthly Academic Council, Graduate Council, and Faculty Meeting
Represent the Office of the Registrar at professional meetings and official duties as
designated by the Vice President for Academic Affairs
Serve as liaison with Registrars at other institutions, as needed
Coordinate and produce undergraduate catalogs
Participate in and approve final academic eligibility certification for athletics
Collaborate with Computer Services to initiate and implement technological processes
aimed at continuous service improvement,
Responsible for annual updates to the on-line undergraduate catalog
OVERSEE:
Evaluation of Transcripts
Evaluate undergraduate transcripts for transfer credits
Notify students of credit accepted toward a degree
Image evaluation results
Class Schedules and Registrations
Create semester class schedules upon receiving information from academic units
Publish semester class schedules and registration information on Populi
Process changes to the class schedules as requested by academic units
Monitor registration activities on Populi and provide registration assistance to students
who come to the main office
Graduation
Maintain degree audit system for online use by faculty and students
Conduct final degree audit for awarding all degrees
Work in conjunction with the Commencement Committee Chair in coordinating
graduation exercises held in Fall, Spring, and Summer
Routine Services
Maintain academic records of all students
Process official transcripts either electronically or printed as requested by present and
former students when cleared by the Business Office
Provide student absences reports to Financial Aid, Vice President for Academic Affairs, and Director of Retention
Inform students when grades are viewable at midterm and end of term each semester
Prepare enrollment reports and assist with annual audit by Education Commission of the Montana Southern Baptist Convention Board
OTHER RESPONSIBILITIES:
Other duties as assigned by the Vice President for Academic Affairs
DESIRED QUALIFICATIONS:
Minimum of Bachelor’s degree, Master’s degree preferred
3 years’ experience working in higher education minimum; 5 years’ experience
working in a Registrar’s Office preferred
In-depth knowledge of Title IV
Knowledge of record-keeping in higher education
Exceptional organizational skills
Computer skills
Excellent oral and written communication skills
Reports to: Vice President for Academic Affairs
FSLA Status: Exempt
