Overview: This position is responsible for performing confidential secretarial duties for the President and reports to the President and the Director of Executive Offices.

Job Role and Responsibility:

  • Opens, scans or reads and distributes incoming mail
  • Composes correspondence for the President’s signature
  • Transcribes the President’s dictation
  • Prepares speech and sermon manuscripts 
  • Prepares pageant scholarship letters
  • Prepares bulk mailings from the President’s office
  • Organizes and maintains the President’s files
  • Screens telephone calls, provides information or refers callers to appropriate staff
  • Receives visitors to the Executive Office, answers inquiries personally or refers, as appropriate
  • Makes travel arrangements for the President, arranges itinerary and accommodations; maintains President’s calendar, advising of commitments
  • Performs other duties as assigned

Knowledge, Skills and Abilities Required:

  • Skilled business representative in office methods and public relations
  • Ability to communicate information and ideas orally and in writing so others will understand
  • Must type accurately from plain copy at 50 words per minute
  • Ability required to handle confidential work with tact and discretion 
  • Abie to to exercise judgment in stressful situations in a fast-paced environment
  • Able to establish and maintain effective working relationships with others
  • Possess high standards of conduct, appearance and attitude
  • Possess strong analytical skills
  • Knowledge of guest experience satisfaction
  • Able to motivate and convey information effectively to internal parties
  • Proficient with basic computing skills, office hardward, and Microsoft Office
  • Possess strong working knowledge of the Southern Baptist General Convention of Oklahoma and the Southern Baptist Convention
  • Preferred: Active membership in a Southern Baptist Church

Qualifications, Experience and Education

  • Required: At least one year of college 
  • Preferred: Bachelor’s degree 
  • 5 years of clerical office work, which must have included experience as an office manager, executive assistant, or as a confidential secretary is required
  • Prefer experience in a higher education environment
