Job Summary:
This position is responsible for coordinating administrative aspects of the Office of Experiential Education (OEE) and for providing administrative support to the Chair and faculty in the College of Pharmacy (COP) Department of Pharmacy Practice.Essential Job Duties:
Experiential Education
- Assist the Assistant Dean and the Assistant Director of Experiential Education in coordinating advanced pharmacy practice experiences (APPEs).
- Enter and maintain Clinical Preceptor and practice site information in CORE. Correspond, keep records, and file records involved in managing Clinical Preceptors for the COP.
- Utilize CORE to schedule and manage APPEs.
- Run experiential education quality assurance reports.
- Coordinate all health and administrative prerequisites for the experiential education program. These prerequisites include annual criminal background checks, annual urine drug screens, HIPAA/OSHA training, immunizations, etc. Provide a Letter of Good Standing for all students at West Tennessee Healthcare, Baptist, etc., each semester after assurance that students have maintained prerequisite requirements.
- Coordinate quarterly payment of Clinical Preceptors. Provide required reports to Business Services to support payment.
- Maintain the housing schedule for APPE students completing rotations in Memphis, Smyrna, and Tupelo. Communicate schedules with students and apartment management.
- Manage the housing provided for students in Memphis, Smyrna, and Tupelo. Coordinate apartment cleaning, maintain services, assure timely bill payment
- Assist in planning and coordinating OEE events, including the annual Preceptor Development Program and the annual Career Fair.
- Provide administrative support for the Office of Experiential Education.
- Serve as the staff member on the Experiential Education Committee.
Registration
- Create COP registration forms each semester.
- Register pharmacy students for all required and elective courses each semester.
Pharmacy Practice
- Provide administrative support for the Chair of Pharmacy Practice.
- Assist in completing and maintaining required documents for student and faculty BLS certification.
- Provide administrative support for faculty members of the Department of Pharmacy Practice.
- Provide laboratory assistance for faculty members of the Department of Pharmacy Practice.
- Assist in the APhA Immunization Certification course.
- Coordinate the student observation schedule for the Applied Therapeutics course.
Advise
- Review transcripts for incoming freshmen who have been admitted into the Pharmacy Early Admissions Program (PEAP).
- Advise PEAP students for one to three years while undergraduates on required and elective coursework in the pre-pharmacy curriculum.
- Assist students with course registration.
- Complete a Travel Registry for students and faculty members completing domestic and international trips.
- Student interviews: Work with the Admissions Committee to assist with applicant student interviews.
- Accreditation: Maintain an accurate filing system of the College of Pharmacy program that supports the retrieval of necessary documents for accreditation or other necessary reports.
- Assist in the planning and hosting of College of Pharmacy events.
- Other duties as may be assigned by the Assistant Dean for Experiential Education, the Assistant Director of Experiential Education, members of the COP Leadership Team or faculty members in the Department of Pharmacy Practice.
Required Qualifications:
Graduation from high school or equivalent and two years of clerical experience. This position requires strong organizational skills, the ability to multi-task, typing skills, and the ability to work in a fast-paced college environment. Excellent written and verbal communication skills are also required, with demonstrated proficiency in Word, Excel, and other Microsoft Office technology.
The qualified candidate must be hard-working, self-motivated, and self-directed, with a record of successfully managing multiple projects and deadlines. The candidate must be a contributing team member that works well with others.
