Position: Academic Records Coordinator, full time

Position Summary:  The Academic Records Coordinator is responsible for specific operations of the Registrar’s Office and reports to the University Registrar.

Qualifications: Excellent organizational, analytical, and computer information system skills, demonstrated ability to work independently on multiple tasks with a high degree of accuracy, at a quick pace, excellent verbal and written communication skills, sound judgment in applying complex guidelines and regulations, and the ability to work effectively with all levels of the campus community. Experience in a University Registrar’s Office or similar educational administrative setting. Bachelor’s degree required.

Responsibilities include:

  • Assist with commencement preparation and ceremony activities
  • Print diplomas for online, review them for accuracy before the President signs, and serve as backup for traditional
  • Perform a file audit each session for online and serve as backup for traditional
  • Perform degree audits & provide accurate updates to students and advisors for online and serve as backup for traditional
  • Process Latin honors for online and serve as backup for traditional
  • Process course substitutions for online and serve as backup for traditional
  • Process AP, CLEP, DANTES, transfer, and alternate credit
  • Coordinate TES workflows, data entry, and follow up
  • Process transcript requests
  • Coordinate cross registration program
  • Process transient and study abroad applications
  • Process Jenzabar classification and full/part time updates
  • Check work to ensure accuracy based on office and academic policies
  • Prepare paper files and documents for the imaging process
  • Provide data to other areas as requested after consultation with the Registrar
  • Provide excellent customer service all times with students, faculty, and staff
  • Serve as a backup as needed to ensure smooth office operations
  • Perform all front desk duties based on assigned schedule and as needed
  • Other duties as assigned
